Ask us about your personal information
If you want to know what personal information we hold about you, have it corrected, have it deleted, or object to how we are using it, this page tells you how.
You do not need a lawyer, you do not need to give a reason for most requests, and there is no charge for a straightforward request about your own information.
What you can ask for
Access. A copy of the personal information we hold about you, and information about how we are using it.
Correction. If something we hold is wrong, out of date, incomplete, misleading, irrelevant or excessive, ask us to fix it.
Deletion. Ask us to delete or destroy information we are no longer authorised to keep. We may not be able to delete records the law requires us to retain — if that applies, we will tell you which records and why.
Objection. Object to our processing of your information on reasonable grounds relating to your particular situation, where we rely on legitimate interests.
Withdrawal of consent. Where we have relied on your consent, withdraw it. This does not affect processing that already took place lawfully.
Direct marketing. Tell us not to send you marketing. We do not currently send marketing, but if that changes you can opt out at any time.
How to make a request
Email us at privacy@aigpudatacenter.co.za.
Tell us:
- Your name and an email address or telephone number we can reach you on
- What you want — access, correction, deletion, objection, or something else
- Enough detail to find your information — for example, roughly when you contacted us, from what email address, and on behalf of which organisation
- Whether you are asking for yourself or for someone else. If you are acting for someone else, tell us in what capacity, and be ready to show that you are authorised
You may also write to us at: The Information Officer, AI GPU Data Center (Pty) Ltd, 5 Rhodes Street, Kensington B, Randburg, 2195.
Verifying who you are
We will take reasonable steps to satisfy ourselves that a request comes from the person it concerns, before we act on it. This protects you — we do not want to hand your information to someone else.
Usually, replying from the email address you originally contacted us from is enough. If we need more, we will ask for the least we can work with.
We will not ask you to send us a copy of your identity document, and you should not send us one. If anyone claiming to be us asks you for an ID copy, a bank detail or a password in response to a privacy request, it is not us.
What happens next
We will acknowledge your request when we receive it.
We will respond within the period the law allows. For requests for access to records under the Promotion of Access to Information Act, that is 30 days, which may be extended by up to a further 30 days where the request covers a large volume of records. If we need an extension, we will tell you before the first period ends and explain why.
If we cannot do what you have asked, we will tell you why, and tell you what you can do about it.
Formal requests for access to records are dealt with under our PAIA and POPIA Manual, which sets out the prescribed procedure, the applicable fees and the grounds on which access may be refused.
If you are not satisfied
Please tell us first. Most problems are quicker to fix directly, and we would rather know.
